Compare Quotes in Offertes.ai: From Loose PDFs to One Smart Matrix

You have two, three, or five quotes in your inbox. One supplier sends a PDF, another sends an Excel file, and the third has placed the conditions somewhere at the bottom of a Word document. You can now build your own comparison sheet, or you can let Offertes.ai do the heavy lifting.

This guide is built for the second scenario. You do not need a theoretical explanation of quote comparison. You need a fast route to three answers: who is sharply priced, who is complete, and which supplier still needs follow-up before you decide?

The fastest route: create an account or log in, go to Compare, choose Simple Comparison, select at least two quotes, and click Start Comparison.

When to use Simple Comparison

Use Simple Comparison as soon as you want to place multiple offers side by side without manually retyping everything. It is especially useful for supplier prices, material quotes, subcontractors, budget checks, and quick procurement decisions.

Need to assess quotes against specifications, technical requirements, or MEAT criteria? Then Simple Comparison is the starting point, but not the endpoint. Use Advanced Comparison for that.

Step 1: open Compare and choose Simple Comparison

In the platform, open Compare from the menu. There you choose between two routes. For most users, Simple Comparison is the right first step: quickly compare multiple quotes with a basic analysis of price, conditions, service, and balance.

Advanced Comparison is meant for deeper scope validation against project documents. Start simple when your main goal is to understand which offer is practically and financially the most logical.

Step 2: upload quotes or select them from a project

You have two ways to prepare documents:

• Upload files: drag PDF, Excel, or Word files into the upload area. Files can be up to 15 MB.
• Select from project: choose an existing project and tick the quotes that are already stored there.

On the right, you immediately see the To compare list. As soon as it contains at least two documents, Start Comparison becomes active. That is intentional: you can review one quote, but real comparison starts at two.

Step 3: let Offertes.ai build the matrix

After starting, Offertes.ai analyzes the selected quotes. The software extracts supplier information, cost lines, conditions, technical differences, assumptions, exclusions, and risks from the documents.

Important: you do not get a black box that randomly picks a winner. You get an auditable comparison that shows faster where your own judgment is needed.

Step 4: read the management summary first

The results start with a Management summary. You immediately see which quote stands out on price, completeness, and value for money. Think labels like Sharpest Price, Most Complete, and Best Price/Quality.

Use this as triage, not as the final decision. If one supplier is cheap but has many exclusions, you want to know that immediately. If another supplier is more expensive but clearer and more complete, that is often worth a conversation.

Step 5: check table, cards, and Excel export

Then you review the comparison in detail. In the Table view, quotes are placed neatly side by side. In the Cards view, you can move through supplier details more quickly.

• Cost overview: where are the largest price differences?
• Delivery & conditions: are planning, service, transport, and warranties comparable?
• Assumptions & exclusions: which assumptions could turn into extra work later?
• Risks & unclear points: what needs to be resolved before you approve?

Want to share the comparison with your team or continue editing it? Use Download as Excel. That keeps your analysis out of scattered screenshots and notes.

Step 6: use the supplier questions

The most valuable output is often not the lowest price, but the list of Questions for suppliers. These questions help you resolve unclear points before awarding the work.

Send those questions back to suppliers, confirm missing line items, and ask explicitly about exclusions. After that, you can review the same quotes again with far less noise.

When to move up to Advanced

Simple Comparison is the best first step for quick quote control. Move up to Advanced Comparison when you also need to check whether an offer matches your request, specifications, technical requirements, or project scope.

So treat Simple Comparison as your fast filter. It surfaces the obvious issues, makes price differences discussable, and gives you a clean matrix. If scope and compliance then become decisive, go deeper.

You do not need a perfect dossier to start. Two quotes are enough. Upload them in Offertes.ai, click Start Comparison, and use the matrix to ask better questions before you decide.
