The practical rule: Outlook remains your personal mailbox. Offertes.ai makes relevant project mail usable within the project file.

Why project mail needs more than a mailbox folder

An Outlook folder helps organize email, but it does not automatically know the complete context of a construction project. A message may concern a quote, an attachment may belong to a request and an agreement may affect the schedule.

Without project linking, every team member has to reconstruct that relationship. This creates familiar situations:

• A quote attachment exists only in one colleague's inbox.
• A response is expected, but nobody knows who should follow up.
• A project manager searches for the email that confirmed a deviation.
• A document is downloaded again while the project file already contains another version.

The solution is not to share the complete mailbox with the team. It is to give relevant communication controlled project context.

Connect your personal Outlook account

You start the connection from the integration settings in Offertes.ai. Microsoft shows which permissions are requested and completes the secure sign-in.

The connection is personal: every user connects and manages their own Outlook account. Offertes.ai imports Inbox messages through scheduled delta updates. This is not a real-time webhook or a complete synchronization of Sent, Archive or every other Outlook folder.

An imported message retains important source information, including sender, recipients, sent time, conversation metadata and a link for opening the original message in Outlook.

Choose which mail belongs to a project

Not every Inbox message is project mail. The user therefore decides which messages and threads should be linked to a project.

Once linked, you can filter the inbox by project and find relevant communication alongside the rest of the project file. This prevents the software from silently making incorrect assumptions based on similar project names, suppliers or subject lines.

Why this matters: automation should reduce search work, but it should not invisibly decide where business communication belongs.

Follow-up without automatically sharing your mailbox

A message may need attention from an estimator, work planner or project manager. In Offertes.ai, you can mark who should follow up without giving that person access to your complete Outlook mailbox.

Read and archived states are also managed locally in Offertes.ai. These actions help organize your project inbox, but they do not change the original message in Outlook. Deleting something in Offertes.ai should likewise not be understood as deleting it from Outlook.

Process supported attachments

When attachment import is enabled for the workspace, supported non-inline file attachments from Outlook can be stored locally. File type, file size and available workspace storage still determine what can be imported.

An imported attachment can then be added to the right project and used through the existing document workflow. This is not an unlimited mailbox backup: not every attachment type is supported, and file-size and storage limits apply by default.

Send new project mail through Outlook

When sending is enabled, you can send new email from the connected Outlook address. Offertes.ai creates the message through Microsoft and records the local relationship with the send operation.

Project documents are shared through secure Offertes.ai links. The current integration does not upload those documents as native Outlook attachments and does not promise an automatic reply inside an existing Outlook conversation.
